Océ Document Technologies presents automated business process solutions

Poing, Germany,  27 March 2006—Automated invoice processing and digital mailroom applications— for Océ Document Technologies, digital business process solutions will be the focus of its presentation at this year's Océ OpenHouse Fair. It will also be displaying fast, reliable non-keyboard data capture technology.

Mail CENTER and Invoice CENTER support enterprises with swift, cost-effective incoming mail and invoice processing. Single Click Entry extracts data from documents and partly automates its transfer into any application. It is available as a stand-alone solution or integrated in Invoice CENTER and Mail CENTER. 

Automated invoice processing

Invoice CENTER for SAP supports the complete incoming invoice processing workflow, from initial entry to payment—automatic extraction of invoice data including the individual items, generation of posting records in SAP, and approval by the accounts payable department or external departments (non-SAP users). All process steps are controlled by the SAP Business Workflow. Electronic invoices are also supported.

With the Invoice Cycle ad hoc workflow, the processing clerk can now specify a sequence of persons to sign off the invoice and a processing schedule at the beginning of the authorization cycle. Internal authorization cycles can thus be mapped perfectly in multistage workflows.

Automated processing of incoming mail

Mail CENTER is a scalable electronic mailroom solution. It consists of three independent levels, each serving a different type of addressee: employees, departments or business processes. Employees simply receive the scanned document via e-mail. In the departmental solution, Single Click Entry supports the rapid transfer of data from scanned documents to the relevant application. In the third configuration, documents are directly associated with business processes, such as ordering or invoice processing. All three levels can be combined as required. 

Data capture at the click of a mouse

The patented Single Click Entry process reduces the effort needed to complete form fields to a single mouse click, assisting in quickly entering data that was not captured automatically. A single click transfers the data to any application—ERP, CRM, DMS or Excel. Typing is unnecessary and cumbersome switching between the keyboard and mouse is minimized. A once error-prone job that would have taken minutes is thus a matter of seconds. This semi-automatic data capture technology can be used in any situation that does not justify the effort and costs of implementing a dedicated data capture solution.
