Océ PrintKey Communication Server for SAP® Business Suite

Océ PrintKey Communication Server (Océ PrintKey CS) is the main component of Océ PrintKey and realizes the interface between the output management system and SAP. Océ PrintKey CS sends the print data like invoices or statements to one or more spooling systems. The job processing is defined in XML job tickets and the status of the job is fed back to the SAP user in his SAP environment.
There are two flavours for the basis: the Communication Server for Transaction Printing or for Document Printing.

General optional modules

The following modules are available for both transaction printing and document printing.

• Non FTP Transfer. The transfer of spool data from SAP and Océ PrintKey CS is normally realized via FTP. With this module it is possible to have a non-FTP connection. This can be used when there are security issues with FTP. 

• Océ PrintKey CS - SAP Status PopUp. This module offers Pop-ups in SAP when there is an issue in the processing of a print job, either in the spooling system or on the printer. The pop-up is related to the actual user and the actual print job. 

Optional modules for Transaction Printing

• Adapters. An adapter is an interface to another application that might be necessary to process a print job. Available adapters for print management or spooling systems:

  • Océ PrintKey CS Adapter for Océ PRISMAsatellite (there is another one for document printing)

  • Océ PrintKey CS Adapter for Océ PRISMAproduction

  • Océ PrintKey CS Adapter for Océ PRISMAnet

  • Adapter for forms generation: Océ PrintKey CS Adapter für Océ Document Designer (ODDA)

• Océ PrintKey Preview Basis. Offers the basic technology to preview ready-made documents, via Océ Document Designer. This module is required for Océ PrintKey Spool View and Océ PrintKey Archiv SAP.

• Océ PrintKey Spool View. Viewing of exterally formatted documents via an Océ PrintKey module that lists print jobs like the SAP spool

• Océ PrintKey Archiv SAP. Archiving of externally formatted documents via the SAP RFC module. Archive-independent because it uses the SAP standard archiving. SAP data must be prepared as RDI or XSF. 

Optional modules for Document Printing

Océ PrintKey also facilitates printing of non-transactional data from SAP like product documents and even wide-format drawings.

Adapters.

An adapter is an interface to another application that might be necessary to process a print job. Available adapters for print management or spooling systems:

• Océ PrintKey CS Adapter for Océ PRISMAsatellite (there is another one for transaction printing)
• Océ PrintKey CS Adapter for Océ Engineering Exec. 

PrintKey Dialog Document Printing and Dialog Function Modules.

Océ PrintKey Dialog makes all the functions of a modern print and plot management system available to you. You can query and select the documents you need, compile them to form your print job and set the necessary print parameters. The documents are then assembled manually, or a print job is created and executed automatically via object extraction. The documents to be printed are selected from the SAP query hit list. Those you have selected, including simultaneous selection of multiple documents if so desired, are sent to Océ PrintKey Dialog. As well as standard functions, such as number of copies, scaling and sorting, you can enter accounting information, define a user stamp and select paper and type of post-processing. After the print job has been sent, Océ PrintKey Dialog makes the spool status available. You can view the print status of your print jobs at any time right up to the final message from the output system. The entire functionality—both that of the SAP standard functions and also that within the downstream print and plot systems—are available to you in Océ PrintKey Dialog. You receive a complete control centre that executes and administers your output processes.

SAP extensions from Océ for PrintKey

Océ PrintKey SAP Extensions are direct links to the SAP standard transactions (for example CV03N, CV04N etc.) for displaying and searching for documents from Océ PrintKey Dialog. In these transactions, the metadata for SAP documents, the document information sets (DIS) is queried in order to select documents for printing.
Transfer of the documents to be printed to Océ PrintKey Dialog is executed via the ‘Print’ user exit for each transaction respectively. The process is set up such that multiple document information sets can be simultaneously selected and compiled into the print job in one step. The selected document information sets are broken down in Océ PrintKey and the documents contained displayed.
This permits a selective choice of documents even when the document information set contains more than one document. The choice of documents to be printed can also be limited by means of filters. The efficiency of the printing process is considerably increased through the use of Océ PrintKey—from the selection of the DIS to choosing the attached documents.

Océ PrintKey helps to create even complex print jobs easily.

PrintKey Object Resolution

With these modules users can resolve SAP parts lists. It will find the documents in the DIS that are related to the parts list or Bill of Material. It is possible to define extensive filter settings, like selecting only TIF or PLT documents. After all relevant and filtered documents are resolved by the PrintKey module they can be handed over to the print dialogue or printed immediately with a pre-defined job ticket.

Document Import for SAP DMS

Very often there are many paper documents or documents from other systems present that should be available in SAP. Mass-import and import one-by-one is possible with this optional module. If there is enough meta-data available it is possible to create links between the documents and SAP objects (like a bill of material) during the import 

Additional modules

PrintKey Stamp Server and Layout Designer for Stamp 

A special function of Océ PrintKey is the stamping function for document printing. Construction drawings in particular must normally be marked with release status, version number, processing status and validity. This is the only way of ensuring that out-of-date documents are not used in production. Océ PrintKey allows this information to be stamped on the document to be printed. As well as the predefined stamp texts, which can only be added to or modified by the administrator, the user, depending on his authorization, can add his own stamp texts. The size, colour and position of the stamp can be freely selected within certain parameters.

PrintKey iCon Server 

The iCon server is a PrintKey module that can realize document conversion. It does not contain converters itself, but can invoke and steer external converters or native applications like Autocad, Microstation, Word or Excel. The conversion is done in the output process, “conversion while printing”. It is possible to define paramaters for the conversion, like resizing. Results of the conversion are fed back into PrintKey.
